Position Overview Openwork is hiring on behalf of our client, a rapidly growing commercial and residential construction company operating across the Greater Houston/Galveston and Austin markets. We are seeking an organized and proactive Finance & Administrative Coordinator for a temp-to-hire opportunity based in Friendswood, TX. This role owns the company’s day-to-day financial transactions and administrative workflows, ensuring projects, vendor records, financial data, and office operations run smoothly. Sitting at the intersection of accounting support and project administration, this position is ideal for someone who thrives in a fast-paced construction environment and takes pride in keeping financial and operational details on track.
Key Responsibilities Financial Administration
Manage full-cycle Accounts Payable (A/P), including bill entry, subcontractor invoice processing, payments, and vendor records.
Support customer billing, payment processing, and collections follow-up.
Maintain accurate transactional workflows and data sync between project management software (Knowify) and accounting software (QuickBooks Online).
Collect, reconcile, and maintain credit card receipts, expense reports, and employee reimbursements.
Track and maintain vendor/subcontractor compliance documents, including W-9s and Certificates of Insurance (COIs).
Coordinate payroll and employee timekeeping administration.
Provide organized, timely financial documentation and reporting to external CFO advisors for month-end close and reporting.
Operations & Project Administration
Assist with job setups, contract administration, change orders, and general project documentation.
Lead subcontractor and vendor onboarding procedures.
Manage general office duties, including physical/digital record keeping, supplies, mail/correspondence, and general organization.
Provide executive administrative support to company leadership and Project Managers (scheduling, follow-ups, document prep).
Help establish and maintain consistent administrative and operational standards across regional operations.
Qualifications & Key Competencies
Experience: 2+ years of experience in transactional bookkeeping, accounts payable/receivable, or financial administration required.
Industry Background: Previous experience in the construction industry is strongly preferred.
Software Skills: Proficiency with QuickBooks Online and/or Knowify (or similar construction management software) is highly preferred.
Self-Starter Attitude: High level of ownership—proactively follows up when approvals, documents, or information are missing rather than waiting for direction.
Communication: Clear, professional written and verbal communication skills; comfortable coordinating across project managers, owners, field team members, vendors, and CPA/CFO teams.
Organization: Exceptional detail orientation and ability to prioritize multiple moving parts in a dynamic environment.
