Position Summary

Are you a detail-oriented bilingual professional with experience in order fulfillment, shipping, logistics, or customer operations? We are seeking an experienced Bilingual (Spanish) Order Fulfillment Specialist to join a growing and dynamic organization.

In this key role, you will be responsible for ensuring the accurate and timely processing, coordination, and shipment of customer orders from start to finish. You will play an essential role in delivering an exceptional customer experience by verifying order details, coordinating inventory availability, preparing critical shipping documentation, and partnering closely with warehouse, logistics, and customer service teams.

Essential Duties and Responsibilities

Order Processing and Fulfillment

  • Review, process, and confirm customer orders accurately within the order management system.
  • Ensure orders are fulfilled according to customer requirements, delivery timelines, and established shipping standards.
  • Verify order details, quantities, inventory availability, and shipping requirements prior to release.
  • Prioritize rush, time-sensitive, or high-value customer orders as needed.

Shipping Documentation and Coordination

  • Prepare and transmit Advance Ship Notices (ASNs) and invoices through Electronic Data Interchange (EDI).
  • Monitor and process EDI transactions, including but not limited to 850, 856, and 810 transactions.
  • Create and maintain shipping documentation, including Bills of Lading (BOLs), packing slips, shipping labels, and parcel documentation.
  • Generate shipping labels using carrier portals and systems such as UPS and FedEx.

Logistics and Shipping Support

  • Coordinate outbound shipments, including Less-Than-Truckload (LTL) shipments.
  • Work with carriers and logistics partners to ensure timely pickup and delivery of customer orders.
  • Communicate shipping requirements and delivery expectations with internal and external partners.
  • Assist in resolving shipping delays, documentation discrepancies, and delivery-related issues.

Inventory Coordination

  • Review inventory availability and coordinate with warehouse and inventory teams to allocate products for customer orders.
  • Communicate potential inventory shortages or fulfillment issues to appropriate internal teams.
  • Support efficient coordination between order processing and warehouse operations.

Systems and Data Accuracy

  • Maintain accurate order, shipping, and invoicing information within applicable systems.
  • Monitor EDI transaction flows and identify errors or discrepancies.
  • Troubleshoot and escalate system, transaction, or documentation issues as appropriate.
  • Maintain data integrity and ensure accurate recordkeeping throughout the fulfillment process.

Qualifications

  • High school diploma or GED required.
  • Bilingual in English and Spanish required.
  • One to three years of experience in order fulfillment, shipping, logistics, warehouse operations, or a related field preferred.
  • Experience working with order management systems, ERP, WMS, or similar business software.
  • Experience with QuickBooks preferred.
  • Familiarity with EDI transactions and shipping documentation preferred.
  • Experience using shipping carrier portals, including UPS and FedEx.
  • Proficient computer, data entry, and Microsoft Office skills.

  • Ability to adapt to changing order volumes, customer requirements, and business systems.

Work Environment and Schedule

  • This is a full-time, on-site position.
  • Standard schedule is Monday through Friday, 8:00 AM to 5:00 PM.
  • Overtime may be required during peak business periods or to support urgent customer shipments.
  • The position requires regular interaction with office, warehouse, logistics, and shipping personnel.

Compensation

Pay Rate: $18.00–$22.00 per hour, depending on experience and qualifications (DOE).
