Job Title: Administrative Support
Job Type: Contract / Temporary (Estimated 3-Month Assignment)
Location: The Woodlands, TX – On-Site
Schedule: Tuesday, Wednesday, Thursday | 8:00 AM – 4:00 PM
Pay: $25–$35 per hour
Position Overview:
We are seeking a reliable and organized Administrator to support our executive team and multiple departments during a short-term project. This role requires someone who is detail-oriented, proactive, and comfortable handling a variety of administrative tasks in a fast-paced office environment.
Key Responsibilities:
1. Leadership & Team Support
- Assist the executive team with support for various department members as needed.
- Provide administrative support to Sales, Marketing, Finance, Communications, Manufacturing, Licensing, and Supply Chain employees.
2. Scheduling & Meetings
- Manage calendars and assist with scheduling using internal tools.
- Coordinate meetings, including preparing rooms and ordering catering or beverages.
- Print daily schedules for executives and ensure their day stays on track.
- Assist with coordinating travel arrangements as needed.
3. Documentation & Reporting
- Print, bind, and organize documents for meetings and presentations.
- Prepare and submit monthly expense reports for multiple team members using Concur.
4. Office & Facilities Management
- Maintain office supplies and keep breakrooms stocked.
- Submit and track building service requests (e.g., maintenance, printer repairs).
5. Onboarding & Employee Services
- Assist with onboarding new employees, including IT ticket submissions and building access requests.
- Manage incoming FedEx packages and internal mail distribution.
6. Coordination & Backup
- Coordinate meetings, lunches, and company events as guided.
- Serve as backup to other administrative staff when they are out of the office.
Qualifications:
- Prior experience in administrative or executive support preferred.
- Strong organizational, multitasking, and communication skills.
- Proficiency with Concur and Microsoft Office Suite (Outlook, Word, Excel).
- Familiarity with Ariba/SAP is a plus; training available if needed.
- Professional, proactive, and able to work independently.
